Co-sponsorship is not a means to avoid applicable fees. The following guidelines ensure compliance and consistency.

  • Registered Campus Organizations (RCOs) and university departments co-sponsoring events as the primary event sponsor must assume responsibility for the event and all related liabilities and costs.
  • When an event is co-sponsored, all planning, communication, and payments must be coordinated through Student Center & Event Services (SCES) via the primary event sponsor, who submits the event inquiry and signs an agreement.
  • Co-sponsored events will be quoted at the higher applicable fee schedule associated with the co-sponsors.
    • RCOs as Primary Sponsor: Events co-sponsored with a UC department will be quoted at Fee Schedule 2 and events co-sponsored with an off-campus entity will be quoted at Fee Schedule 3.*
    • Departments as Primary Sponsor: Events co-sponsored with an off-campus entity are quoted at Fee Schedule 3.

Conditions for Primary Event Sponsors

For an RCO or university department to serve as the primary event sponsor, the following conditions must apply:

  • Control all event decisions, when initiating and planning an event. Using a primary sponsor to gain facility access for a secondary sponsor (“fronting”) is prohibited.
  • Lead all planning and payment processes. Secondary sponsors may not lead planning or pay directly (e.g., creating curricula or covering expenses).
  • Ensure the authorized signer/contact for the primary sponsor attends all planning meetings and the entire event, assuming full responsibility for execution.
  • Develop and execute all advertising and promotion, using their website or social media pages as the official “home” platform. Using another organization’s platform as the “home” for promoting the event is prohibited, as it may imply endorsement or fronting.
  • Issue and execute all registration forms, waivers, and official documents. Listing another entity as the contact or liability holder may imply endorsement or fronting.
  • List themselves as the primary sponsor in all marketing. Secondary sponsors supporting the event must be recognized less prominently (e.g., using smaller font or logos).
  • Exclude secondary sponsor names from event titles but may cite them as co-sponsors (e.g., “Resume Writing Workshop: What Recruiters Seek” is acceptable; “Facebook Sponsors: Resume Writing” is not)

* If no fronting issues occur, after the event has occurred, SCES may apply a 25% discount on the final event invoice for Student Center room rentals. All other costs follow department or off-campus rates.
